An ATS may extract information such as your name, contact details, job titles, employers, dates, education, and skills. Recruiters can then search or filter applications using criteria related to the position.

An ATS does not simply “reject every resume without enough keywords.” Different systems and employers use different workflows. The practical goal is to make your resume easy for software to parse and easy for a person to evaluate.

Why Can ATS Parsing Go Wrong?

Parsing problems often come from presentation choices rather than a candidate's experience. Common causes include:

  • Important text placed inside images
  • Complex multi-column reading order
  • Unusual section names
  • Essential details inside headers or footers
  • Decorative icons used instead of words
  • Scanned PDFs without selectable text
  • Inconsistent dates or job-title formatting

1. Use Standard Section Headings

Choose recognizable headings such as Professional Summary, Work Experience, Education, Skills, Certifications, and Projects. Creative labels can make the document harder to interpret.

2. Match Relevant Job Terminology

Read the job description carefully and identify important skills, tools, qualifications, and responsibilities. Use the same terminology when it truthfully describes your experience.

For example, if the employer uses “customer relationship management” and “Salesforce,” include those exact terms in a relevant achievement or skills section instead of mentioning only “sales software.”

Do not hide keywords, paste the entire job description, or repeat phrases unnaturally. Recruiters will still read the resume, and misleading content can damage your application.

3. Keep the Layout Clear

Use consistent typography, simple headings, and a logical top-to-bottom order. A restrained two-column design can work when the reading order remains clear, but a straightforward layout is safest for highly automated application processes.

Use bullet points for achievements and avoid tables for core experience when you are uncertain how the target system handles them.

4. Submit the Requested File Type

Follow the employer's instructions. PDF usually preserves layout well, while some employers explicitly request DOCX. When using PDF, confirm that you can select and copy the text. If you cannot, the file may be an image rather than a text-based document.

5. Show Evidence, Not Just Keywords

Keywords help establish relevance, but achievements demonstrate capability.
